How does the art auction bidding process work? How can I bid on a work?

You can bid in several ways:

  • Live in the auction room – the classic form.
  • Online – via the auction platform, you can bid in real time.
  • By phone – this requires prior registration and arranging details with a consultant.
  • By placing a limit order.
  • Purchased works are not returnable.
  • Before purchase, we recommend carefully viewing the work and reviewing the catalog.

Yes, it is possible to bid through an authorized representative. In this case, please provide an appropriate power of attorney, usually in notarial form, which clearly defines the scope of authorization to participate in the auction on behalf of the principal. This document should be sent to our customer service department well in advance so we can verify its validity and register the representative before bidding begins.

Auctions take place on average twice a month. The gallery publishes information about the planned auction together with the catalog no later than one month before its date. The information is available on the website and, for in-person auctions, also at the gallery premises.

The auction is conducted by an auctioneer who calls out successive lots and bids, identifies bidders, announces the end of bidding, and names the winner. Bidding ends when the auctioneer strikes the hammer, which is equivalent to entering into a sales agreement between the gallery and the bidder who offered the highest amount. Bidders place bids by raising their paddle number, submitting an online bid, by phone, or via a limit order.

No, participation in the auction does not involve any upfront fees and only requires prior registration for the auction.

Buying

Can I negotiate the price after the auction if the work is not sold?

Yes, if a work is not sold during the auction, it can still be purchased after the auction. Works that did not reach the reserve price are made available for individual negotiations with interested buyers. In such cases, we invite collectors to contact an advisor who will conduct the discussions on behalf of the owner of the work.

Yes! We present works in a public exhibition before the auction. Dates and hours are listed in the auction catalog. During the exhibition you can view the work up close in professional lighting to get familiar with it.

For each work, the gallery can issue a certificate confirming its authenticity, consistent with the opinions and knowledge of experts cooperating with the gallery as of the auction date.

The gallery provides a reliable description of each available object, prepared in good faith using the experience and professional knowledge of its staff, and offers the opportunity to view the work in person before the auction. In specific cases, if the work is not in conformity with the agreement, a written complaint may be submitted within x days of discovering the defect, but no later than 12 months from receipt of the work.

If you win the bidding, our auction house will promptly contact you to confirm the purchase. You will receive a detailed summary of the transaction. After the sales document is issued, we ask that you make payment within the specified time frame.

Once the funds are credited, our team will arrange a convenient method for collecting the work. This can be personal pickup at the auction house or shipment organized with recommended transport companies.

At every stage we provide support and ensure that the purchase finalization process runs smoothly, safely, and to your full satisfaction.

After the auction ends, you receive an invoice with the hammer price of the work and the applicable auction fees. Payment can be made by card, bank transfer, or cash. The standard payment deadline is 14 days from the end of the auction.

If you reserved an item on our site, we will contact you to finalize the purchase. After confirming the reservation, you will receive information about the price, transaction terms, and available payment methods. The online reservation guarantees that the item is removed from sale for the time needed to make payment and agree on transaction details. At every stage we provide support and full service so the purchase process is convenient and safe.

The “Reserve” option temporarily removes the selected item from sale so you can calmly decide on a purchase for a period of 14 days. After using this function, we receive your reservation information and contact you to confirm interest and discuss next steps.

The reservation means the item will not be offered to other customers during this time. During the reservation period, we agree on transaction terms with you, including the payment method and collection of the work. If you confirm your desire to purchase, we prepare the sales document and finalize the sale. If you decide not to purchase, the reservation is canceled and the item returns to the offer.

This is a convenient solution for customers who want to secure purchase priority without immediate commitment.

Selling

What are the terms of sale at Klin Gallery?

The owner (consignor) submits the work to the auction house (consignee), and it is then offered at auction. After verifying authenticity and assessing the condition of the object, a gallery staff member agrees with the consignor on the starting and reserve prices. Then a Consignment Agreement is signed. 

If the artwork offered at auction does not sell this time, you have 7 calendar days to collect it, counted from the day following the end of the auction.

Klin Gallery offers several options for selling your artworks. One is selling during an auction (auction sale). Another is exhibiting works in a gallery exhibition that is not connected to an auction

(gallery sale), as well as selling works displayed exclusively in the Online Gallery.

Yes, of course you can sell a painting in the Klin Gallery Online Gallery. You need to express your intent to sell the work at the gallery premises, where we will assess its value and set a price.

The payout time for the seller is 7 days from the completion of the transaction, i.e., the posting of the full amount paid by the buyer. The seller must provide Klin Gallery with the bank account details to which the transfer for the sold artwork will be made. Cash payouts are not provided.

To sell an artwork through Klin Gallery, you should contact the gallery to consign the object for sale. You can do this in person at the premises at 5/7 Burakowska Street in Warsaw, by emailing info@klingallery.com, or by calling the number

What additional fees will I need to pay after purchasing a painting at auction?

A 20% auction fee (Premium) is added to the hammer price at Klin Gallery auctions. In addition, selected objects may incur additional fees:import fee, droit de suite. Each object requiring additional fees is appropriately marked in the catalog with symbols. For artworks priced below PLN 10,000, transport is additionally charged (when the work is not collected in person).

No, there are no limits for credit card payments at Klin Gallery.

Yes, absolutely, Klin Gallery offers this option. It is important to inform us on whose behalf the payment is made (in the case of bank transfer).

Yes, Klin Gallery issues a VAT margin invoice for purchased artworks. This is a standard practice for documenting the transaction.

The Klin Gallery bank account number for transfers is 30 1020 4681 0000 1502 0104 3751 in PKO Bank Poland. In the transfer title, please include the invoice number you receive from a Customer Service Department representative.

Additional services

Does Klin Gallery offer art conservation services?

No, Klin Gallery does not offer art conservation services.

Yes, we conduct a professional appraisal for every artwork submitted for auction. Gallery experts assess market value, condition, uniqueness, and the artistic context of the object, which allows us to set the starting estimate and forecast sale price.

Appraisals are conducted by experienced experts who analyze:

  • technique and style,
  • condition and any damage,
  • object history and artistic context,
  • current market prices for similar works.
    The process also includes photographic documentation and preparation of a written appraisal report.

A standard artwork appraisal takes 3 to 7 business days, depending on the type and complexity of the object and its availability for expert inspection.

Yes, Klin Gallery cooperates with artists both for individual and auction sales. An artist can submit works for presentation in the gallery, sale in permanent exhibitions, online sales, or participation in auctions organized by Klin Gallery. Decisions to include works in the gallery offer are made by experts based on quality, originality, and alignment with the gallery profile.
